What is the Venue license fee?
The venue license fee is the amount you pay to use the venue for your event.
How long can the event last at the venue?
The total time allowed at the venue, including setup and teardown, is 11 hours. The event itself can last up to 6 hours.
When can setup for the event start?
Setup can commence no earlier than 12:00pm noon on the day of the event.
What happens if I exceed the time limits?
If any time restrictions are violated, an additional fee of $500 per hour will be charged, along with any other cost incurred by the venue.
How is the venue license fee paid?
30% when signing the contract.
50% 90 days before the event.
20% 14 days before the event.
All other costs and fees are due 14 days before the event.
Is a security deposit required?
Yes, a security deposit of $2,500 along with valid credit card details is required.
What insurance is required for the event?
Commercial general liability insurance with specified coverage limits and liquor liability insurance for vendors selling or serving alcohol.
Can I bring outside vendors?
Yes, but you must provide a list of all vendors 14 days prior to the event, and they must be approved by the Event Manager.
Are there any restrictions on decorations?
Only free-standing equipment and decorations are allowed. Nothing can be attached to the venue in any manner.
Is smoking allowed at the venue?
No, smoking is prohibited.
What about rain or bad weather?
The venue is outdoors. If rain is forecasted, the client is responsible for securing tents or other equipment.
Can I choose any caterer?
Caterers must be selected from an approved vendor list provided by the Event Manager.
What if my guest count changes?
Any changes to the guest count must be approved by the Event Manager. Additional charges may apply if the guest count exceeds the agreed number.
Do I need a coordinator for the wedding day?
Yes, a licensed event coordinator is required and must be approved by The Swanner House Licensor.
Can I rent equipment from other vendors?
The Swanner House Licensor secures all venue rentals. If you wish to rent from another vendor, they must be approved by the Event Manager.
Is there a provision for wedding rehearsals?
Yes, subject to venue availability. A 1-hour rehearsal can be scheduled.
What happens if I need to cancel the event?
If the client terminates the contract, all amounts paid will be forfeited. Specific conditions apply if The Swanner House Licensor terminates the contract.
